Start with the exact ceremony site
Provide the venue, resort, or beach access location. Include the walking route, stairs, sand distance, setup window, and whether vehicles or carts can reach the area. Access affects how much equipment can be positioned and how early setup must begin.
Prioritize spoken words
The officiant, vows, and readings are the most difficult audio elements outdoors. Discuss microphone options, who will speak, whether the couple will hold microphones, and how the equipment can be protected from wind and moisture.
Place speakers for the guests
Speaker placement should be based on the seating width, aisle, ceremony backdrop, and guest count. Louder is not always clearer. The objective is even coverage at a comfortable volume.
Confirm power and permissions
Identify available electrical power, venue restrictions, resort rules, and any limits on amplified sound. Battery-powered options may help in some locations, but the complete plan still depends on guest count and ceremony needs.
Create a real weather backup plan
“We will decide that morning” is not enough unless everyone knows who decides, when the decision is made, and where the equipment moves. Share the indoor or covered backup location and the time required to change setups.
Plan the transition after the ceremony
If cocktail hour or the reception is elsewhere, account for guest travel and equipment movement. A separate ceremony system can reduce delays when the reception system must already be ready.
